About Marking a Resident/Patient as Off-Premise (LOA)
You have the ability to manually mark a resident/patient as off-premise (leave of absence; LOA), including scheduling future dates the resident/patient will be off-premise and back on-premise. When a resident/patient is marked off-premise, then in the Core system they will not be included in production reports and the following people reports.
In addition, when a resident/patient is off-premise, then on the People Listing screen the off-premise alert icon displays for that resident/patient with a tooltip stating the off-premise start date and first meal to be missed, and the on-premise return date and last meal to be missed.
Note: If a resident/patient is scheduled to be off-premise at a future date, the alert icon does not display until that date arrives.
If the resident/patient has the table select service type, and they are off-premise, then they do not appear on the Instant Ordering (IO) screen in the Touch app.
If the resident/patient has the advanced ordering service type, and they are off-premise, then on the Advanced Ordering (AO) screen in the Touch app, they are indicated as Off Premise, as per screenshot below.
Marking a Resident/Patient as Off-Premise or Scheduling a Person to be Off-Premise (LOA)
To mark a resident/patient as off-premise, or to schedule a person to be off-premise, complete the following steps:
- Open the person’s profile.
- Click the Start Off Premise button at the top right of the panel (first screenshot below), and the Off Premise Schedule window appears (second screenshot below).
- In the Starts Date field, enter the date they are off-premise. In the adjacent Start Meal field, enter the first meal period/snack time to be missed (i.e., not to be served) that day. For example, if lunch is selected, then they will not be served lunch, but will be served the meal before, which is breakfast.
- If you happen to know when the person will return, then enter the date in the End Date field. In the adjacent End Meal field, enter the last meal period/snack to be missed (i.e., not to be served) that day. For example, if lunch is selected, then they will not be served lunch, but will be served the meal after, which is dinner. If you do not know the return date and associated last meal or snack not to be served, then you can just leave both fields blank.
- Click the Apply button to apply your changes.
- Click Save at the top right of the panel to save your changes.
Note the following:
- When the person is off-premise the the button is red with the text Currently Off-Premise.

If a return date is entered, the date is displayed on the button.
- If the person is scheduled to be off-premise, the starting date is displayed on the button.

You can edit the off-premise schedule or remove it by clicking the button and selecting the appropriate option.
Manually Marking a Resident/Patient as On-Premise (Return from LOA)
If you did not enter a return date, or the resident returned earlier than the scheduled return date, then you can just mark the person back on-premise when they do return. To do so:
- Open the person’s profile.
- Click the Currently Off Premise button and select Remove Off Premise.
- A confirmation message appears. Click Remove From Off Premise.
- Click Save at the top right of the panel to save your changes.
Automatically Marking Resident/Patient as Off-Premise/On-Premise via your EHR
LOA Start and Return Messages
If your account utilizes a MealSuite Connect interface to an EHR, then the interface allows a person to be automatically marked off-premise via a start leave of absence (LOA) message, and automatically marked back on-premise via a return from LOA message.
Note: If a return from LOA is not entered in the EHR, or if the return from LOA date is processed as invalid by Connect, then the the person will continue to be marked as off-premise in MealSuite. As such, you will be required to manually mark the person back on-premise.
LOA Cancellation Messages
When an EHR sends a cancel LOA message, then the person will be automatically marked back on-premise.
When an EHR sends a cancel LOA return message (i.e., the return from LOA is being cancelled), then the person will stay off-premise (i.e., marked as LOA) and any return date is removed.
For PCC Integrations
If your EHR is PCC, then the Connect interface monitors an On Leave Status flag on the PCC side. If the On Leave Status is yes, then the person is marked off-premise. If the On Leave Status is no, then the person is marked back on-premise.
