About POS Reports
Numerous POS reports are available from the Core system that capture transactional data, including delivery and pickup orders placed on the POS To Go Orders screen and the resident Portal app.
The following reports are available
- POS Detailed Reports - specific POS reports. Available from Point of Sale > Detailed Reports.
- POS Overview Screen - provides a visual real-time display of net sales, order counts, and diner activity. This is ideal for managers needing a current overview of operations.
- POS Summary Reports - POS reports offering more extensive reporting and filtering capabilities than the POS detailed reports. Available from Point of Sale > Summary Reports.
In addition to the above reports, the following POS reports are available from the People module in the Core system:
- Order History Report (from Front-End Ordering Apps) - displays items ordered by the diner via the POS and the Touch app (advanced ordering and instant ordering).
- Diner Facing Statement Generator (for POS Transactions) - is a statement for one or more diners listing meal plan and bill-to-room transactions that were completed in the POS system.
- Presence and Well Being Report (for the Touch App and POS) - tracks when a resident has or has not placed an order for a selected meal service (breakfast, lunch, dinner) and day, either via the Touch app or the POS. If a resident has not placed an order, it can indicate a wellness check may be required for that resident.
POS Detailed Reports
The following POS detailed reports reports are available to run from the Core system via Point of Sale > Detailed Reports:
POS Payment Transactions Report
The POS Payment Transactions Report provides a breakdown of each payment transaction by all tender types (and can include meal plan transactions) and the amount paid. Includes refund payments as a negative value. To run the POS Payment Transactions Report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Payment Transactions link. The Payment Transaction Report screen appears.
- Define the report's criteria via the following filters:
- POS Locations
- Start Date and End Date
- If you want to include meal plan transactions, select the Include Meal Plan Transactions check box.
- Click the Filter button. The screen refreshes with the results. Note that refund payments are shown as a negative value.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
POS Bill-to-Room Transactions Report
The POS Bill-to-Room Report provides an output of all bill-to-room transactions and their associated amounts. To run the POS Bill-to-Room Report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Bill to Room Transactions link. The Bill to Room Report screen appears.
- Define the report's criteria via the following filters:
- Start Date and End Date
- Click the Filter button. The screen refreshes with the results.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
POS Meal Plan Transactions Report
The POS Meal Plan Transactions Report provides a breakdown of each meal plan transaction and the amount (or points) debited. To run the POS Meal Plan Transactions report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Meal Plan Transactions Report link. The Meal Plan Transactions screen appears.
- Define the report's criteria via the following filters:
- Start Date and End Date
- POS Locations
- Meal Plans
- Diner Type (Residents or Staff)
- Click the Filter button. The screen refreshes with the results.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
POS Department Charge Account Transactions Report
The POS Department Charge Account Transactions Report provides an output of all department charge account transactions and their associated diner. Note that this report will also list items not fired to the kitchen (i.e., did not require preparation). To run the Department Charge Account Transactions Report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Department Charge Account Transactions report link. The Department Charge Account Usage Report screen appears.
- Define the report's criteria via the following filters:
- Start Date and End Date
- Click the Filter button. The screen refreshes with the results.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
POS Sales Activity Report
The POS Sales Activity Report provides an output of all ticket line items where the tickets have been paid and closed out, with an option to also include tickets that have been paid but are still open (including future to-go orders). There is also an option to have the report display refund transactions. The report is sortable by POS location and categories. To run the POS Sales Activity Report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Sales Activity Report Link. The Sales Activity Report screen appears.
- Define the report's criteria via the following filters:
- Start Date and End Date
- Only Show Refunds
- Include paid tickets that are still open (including future to-go orders)
- POS Locations
- Categories
- Click the Filter button. The screen refreshes with the results.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
POS Tax Report
The POS Tax Report provides an output of all taxes per line item and their associated amount. To run the POS Taxes Report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Tax Report link. The Taxes Report screen appears.
- Define the report's criteria via the following filters:
- POS Locations
- Start Date and End Date
- Hide $0 Taxes
- Click the Filter button. The screen refreshes with the results.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
POS Discount Report
The POS Discount Report provides an output of each use of discounts and their impact to total sales revenues, including the operator and approving operator. To run the POS Discount Report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Discount Report link. The Discount Report screen appears.
- Define the report's criteria via the following filters:
- Start Date and End Date
- Click the Filter button. The screen refreshes with the results.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
POS Void Report
The Void report captures items that were voided after having been fired to the kitchen. Note: The Void report does not capture refunded transactions.
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Void Report link. The Void Report screen appears.
- Define the report's criteria via the following filters:
- Start Date and End Date
- Click the Filter button. The screen refreshes with the results. Note that the Operator Name is the POS operator who initiated the void and not the POS operator who approved the void.
POS Meal Plan Balance by Date Report
The POS Meal Plan Balance by Date Report provides a snapshot of a diner's meal plan balance for any calendar day, including the last reload date and reload amount.
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Meal Plan Balance by Date Report link. The Meal Plan Balance by Date screen appears.
- Define the report's criteria via the following filters:
- Start Date
- Meal Plan Policy
- Click the View button. The screen refreshes with the results of each diner who meets the selected criteria.
- To view the meal plan transaction activity of a diner, click its View Activity button.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
Meal Plan Spending Breakdown Report
The POS Meal Plan Spending Breakdown report provides a daily summary of a diner's meal plan spending by meal (Breakfast, Lunch, and Dinner), with totals for each day across a selected date range.
Generating Report for Multiple Diners - To run the Meal Plan Spending Breakdown report for multiple diners, complete the following steps:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Meal Plan Spending Breakdown link. The Meal Spending Breakdown screen appears,
- Define the report's criteria via the following filters:
- Start date
- End date
- POS Location
- Meal Plan Policy - select the meal plan.
- Diner Category
- Click the View button. The screen refreshes with the results of all diners.
- If it is required to export the report to an Excel® file, click the Export button.
Generating Report for Individual Diners - You can generate individual reports for diners. An Excel file will be generated for each diner you select. To generate a report for an individual diner, complete following steps:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Meal Plan Spending Breakdown link. The Meal Plan Spending Breakdown report screen appears,
- Click the Individual Report button. The Individual Meal Plan Support pop-up appears.
- Select the month and year from the Start date and End date fields respectively.
- Select the check box of each individual you want to generate a report for.
- At the bottom of the pop-up, click OK. A compressed folder is downloaded containing an Excel file for each selected diner.
POS Gift Card Balance Report
The POS Gift Card Balance Report provides the current balance of all outstanding gift cards. To run the POS Gift Card Balance Report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Gift Card Balance Report link. The Gift Card Balance Report screen appears, listing the balance of each issued gift card.
POS Menu Item Summary Report
The POS Menu Item Summary report provides an output of all menu items which have been fired to a KMS; it is sortable by category and location. Note that the POS Menu Item Summary report will also include modifiers that were added from the POS modifiers grid and also added via modifier prompts (aka forced modifiers). To run the POS Menu Item Summary report:
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Menu Item Summary Report link. The Menu Item Summary Report screen appears.
- Define the report's criteria via the following filters:
- Start Date and End Date
- Diner Category
- POS Locations
- Meal Period
- Category
- Click the Filter button. The screen refreshes with the results.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
Appointments Report
The Appointments report is a basic appointments report to review upcoming appointments and past appointments, paid and unpaid appointments, including pricing for that service, and who the client is for the appointment, as well as who’s Schedule the service is booked for.
- In the Core system, from the left navigation sidebar, select Point of Sale > Detailed Reports. The POS Detailed Report screen appears.
- Click the Appointments Report link. The Appointments Report screen appears.
- Define the report's criteria via the following filters:
- POS Locations
- Start Date and End Date
- Show Unpaid Appointments
- Click the Filter button. The screen refreshes with the results.
- If it is required to export the report to an Excel® file, click the Export to Excel button at top right corner of screen to do so.
POS Overview Screen
The POS Overview screen (screenshot below) provides a visual real-time display of net sales, order counts, and diner activity. This is ideal for managers needing a current overview of operations. The POS Overview screen presents the following sections:
- Net Sales - A simple gauge of net sales orders fulfilled via POS for the date range selected. The dashboard provides a quick overview at-a-glance for busy managers. Net sales are gross sales less discounts.
- Net Sales by Day - Net Sales grouped by Day and shown over time period to track daily performance. Helps in tracking daily sales trends and identifying peak sales days.

Net Sales by Location - "Sum of all orders fulfilled via POS and compared across locations.
Net = Gross Sales - Discounts" - Ticket Count - A simple gauge showing the count of all unique orders fulfilled via POS for the date range selected so Managers can quickly determine order volume to date.
- Ticket Count By Diner Type - Count of all diners placing an order withing a given time period by Diner Type: resident, staff or guest. Order count by diner type may be more than overall diner count due to more than one diner assigned to an order.
Each section is interactive; so by displaying your cursor over a graph or area, additional details appear.
Note: The POS Overview screen is also available from a POS station via the POS Manager module. See POS - Dashboard Screen & Reports (via the POS Manager Module).
Accessing the POS Overview Screen
The POS Overview screen can be accessed from the Core system by selecting Point of Sale > Summary Reports from the left navigation sidebar, and then selecting the POS Overview tab (screenshot below).
Filtering Results on the POS Overview Screen
From the top of the screen, open the Filters tool and use the following filters are available to determine what is displayed on the POS Overview screen:
- Start Date and End Date
- Location - filter by POS locations.
- Staff - filter by specific staff names
- Meal Period - Breakfast, Lunch Dinner
- Diner Type -Resident, Staff, Guest
- Ticket ID
- Order Source - Portal, POS, POS Takeout, API
- Delivery Type - Delivery, To Room, To Go, Pick Up, To Table
Downloading Results from an Overview Section
A section from the overview screen can be downloaded as an Excel® file. To do so, complete the following steps:
- For the section whose data you want to download, click the ellipsis at the top right corner and click Export.
- Click Download to the confirmation message that appears.
- The file is downloaded.
POS Summary Reports
A wide variety of POS summary reports are available from the Core system that offer a comprehensive view of POS financial and operational analytics for dining room management.
The POS summary reports are accessed by selecting Point of Sale > Summary Reports from the left navigation sidebar in the Core system, and then selecting the appropriate reporting tab (screenshot below).
Note: POS summary reports are also available from a POS station via the POS Manager module. See POS - Dashboard Screen & Reports (via the POS Manager Module).
Filtering Results on Summary Reports
From the top of the screen, open the Filters tool and use the following filters are available to determine what is displayed on a POS summary report:
- Start Date and End Date
- Location - filter by POS locations.
- Staff - filter by specific staff names
- Meal Period - Breakfast, Lunch Dinner
- Diner Type -Resident, Staff, Guest
- Ticket ID
- Order Source - Portal, POS, POS Takeout, API

Downloading a POS Summary Report
A POS summary report can be downloaded as an Excel® file. To do so, complete the following steps:
- For the report whose data you want to download, click the ellipsis at the top right corner and click Export.
