About Setting Maximum Item Limits for Paid Orders in the Portal App
For paid orders with the Portal app, it can be configured to place maximum items limits on a menu category/meal period combination to prevent the user from ordering more items than allowed for the menu category/meal period.
For example, if there is a limit of only one item for the dessert category at dinner, the user therefore cannot order two dessert items at dinner.
When attempting to order more than the maximum, a message appears to inform the user that they have reached the maximum allowed for that category.
How are Maximum Item Limits Configured?
Background Info Regarding Meal Plans
Prior to explaining how maximum item limits are configured, some background info is first required on the payment workflow for the Portal app:
- For pickup orders in the Portal app, items covered by the user's assigned meal plan are automatically covered. Remaining items can be charged to the room or paid for upon pickup via the payment tender types supported for the POS station (cash, credit, gift card).
- For delivery orders in the Portal app, items covered by user's assigned meal plan are automatically covered. Remaining items are charged to the room.
When setting up a meal plan in the system, there is the ability to place maximum item limits for each menu category/meal period combination (see Creating and Editing a Meal Plan for more information and instructions). By default, this simply means that if a user exceeds the maximum item limit, then their meal plan will not cover the extra items and instead the user will be required to pay by other means (e.g., cash or credit card) for those extra items.
In the example below, the user is ordering two dessert items (bag of chips and a chocolate bar); however, the meal plan is configured to only allow one dessert item, and therefore the chips are covered by the meal plan but the chocolate bar is not.
Configuration Step to Apply Maximum Item Limits
The means to apply maximum limits for a menu category/meal period is via the meal plan configuration. When setting up maximum item limits for a meal plan, there is the following check box that you can select: Do not allow diner to exceed quantity amount (only for SSK and Portal).
With this check box selected, then with a user assigned the meal plan, instead of allowing that user to simply pay for the extra items, the system prevents the user from actually ordering those extra items.
