About the Diet Order Settings Screen
The Diet Order Settings screen (Tools & Setup > Diet Orders) allows you to manage the diet types, texture types and fluid types available to be assigned to people profiles and used in recipe extension grids, menu extension grids, menu reports and people reports.
The Diets and Textures Tab
The Diets and Texture tab (with Diet Category of Standard selected) displays the diet/texture combinations.
- The diet types are displayed as rows and the texture types are displayed as columns.
- A green check mark indicates the diet/texture combination is published, which means it is available to be assigned to a person’s profile. If a person is assigned the diet/texture combination, then they will be served the substitute recipe for that combination that was extended for it on a recipe extension grid or menu item extension grid.
- A black check mark indicates the diet/texture combination is unpublished, which means it is not available to be assigned to a person’s profile. However, an unpublished diet/texture combination is still available in recipe extension grids and menu item extension grids; this allows you to build the extensions for a recipe prior to publishing diet/texture combinations for the people profiles.
- The parent-child account hierarchy structure in the MealSuite system allows diet types and texture types owned by a parent account to assign maintenance responsibility of those diet types and texture types to their child accounts.
What this means is that the parent account will no longer be responsible for extending to those diet types or texture types when extending a recipe with substitutions. Instead, the responsibility for extending recipes to those diet types and texture types will be with each child account.
When a child account has been assigned maintenance responsibility for a diet type or texture type, then the header of such diet types and texture types are highlighted blue on the diet order settings screen (screenshot below; right-click to open and expand in a new tab).
The Fluid Type Tab
The Fluid Type tab displays the IDDSI fluid types.
- A published fluid type means it is available to be assigned to a person’s profile.
- A fluid type, regardless if it is published or unpublished, is available for a recipe to apply a substitute to when extending that recipe with fluid recipes. When that recipe is added to a menu, then its substitute for the fluid type will be served to a person who is assigned that fluid type.
- When a fluid type is unpublished, by default it does not appear on the Fluid Type tab. An unpublished fluid type can be seen on the Fluid Tab tab via the screen display options (explained below).
- The parent-child account hierarchy structure in the Mealsuite system allows fluid types owned by a parent account to assign maintenance responsibility of those fluid types to their child accounts.
What this means is that the parent account will no longer be responsible for extending to those fluid types when extending a recipe with fluid recipes. Instead, the responsibility for extending fluid recipes to those fluid types will be with each child account.

Unpublishing or Publishing a Diet Type, Texture Type, or Fluid Type
What Does Unpublishing a Diet, Texture, or Fluid Type Do?
When you unpublish a diet type, texture type, it will not be available to be assigned to people, but will still be available in recipe extension grids and menu item extension grids to allow you to extend the recipe with therapeutic substitute recipes. Similarly, when you unpublish a fluid type, it will still be available in the recipe's fluid substitution grid for you to assign therapeutic fluid recipes.
What to Know Before Unpublishing a Diet, Texture or Fluid Type
You cannot unpublish a diet type, texture type or fluid type already assigned to people. If you attempt to do so, the following alert appears:
“[Diet/Texture/Fluid] is currently assigned to people profiles and cannot be unpublished. Please update each person's profile to another appropriate diet order before saving.”
When a parent account unpublishes a diet diet type, texture type, or fluid type, it will be unpublished in its child accounts. However, if the diet order is currently assigned to people in a child account, that diet order cannot be unpublished. Attempting to do so will trigger the following alert:
“[Diet/Texture/Fluid] is in use in your child accounts, and cannot be unpublished. Would you like to see where the [diet/texture/fluid] is in use?”
Clicking the Where Used button displays another pop-up listing the child accounts using the diet order and the number of people assigned to it.
Unpublishing or Publishing a Diet Type
To unpublish or publish a diet type, complete the following steps:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears (first screenshot below).
- Ensure you are on the Diets and Textures tab and ensure the Diet Category is Standard.
- Click the name of the diet type you want to unpublish or publish. The diet type slide-out panel appears (second screenshot below).
- To unpublish a diet type, clear all the check boxes for each texture type. Note: You can also use the Publish for all texture check box by clicking it the appropriate times to clear all the check boxes.
- To publish a diet type, select all the check boxes for each texture type. Note: You can also use the Publish for all texture check box by clicking it the appropriate times to select all the check boxes.
- Click Save to apply your changes and close the slide-out panel.
Unpublishing or Publishing Texture Type
To unpublish or publish a texture type, complete the following step
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears (first screenshot below).
- Ensure you are on the Diets and Textures tab and ensure the Diet Category is Standard.
- Click the name of the texture type to unpublish or publish. The Update Texture Type pop-up window appears (second screenshot below).
- To unpublish the texture type, clear the Publish check box.
- To publish the texture type, select the Publish check box.
- Click Save to apply your changes and close the pop-up window.

To unpublish or publish a fluid type, complete the following steps:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears (first screenshot below).
- Select the Fluid Type tab.
- Click the name of the fluid type you want to unpublish. The Update Fluid Type pop-up appears (second screenshot below).
- To unpublish the fluid type, clear the Publish check box.
- To publish the fluid type, select the Publish check box.
- Click Save to apply your changes and close the pop-up.
Not Displaying/Displaying on the Diet Order Settings Screen the Unpublished Diet, Texture, and Fluid Types
To not display (i.e. hide) on the Diet Order Settings screen the unpublished diet, texture, and fluid types, complete the following steps:
- Click the Display Options icon (screenshot below).
- Slide the top switch to the right (Hide position).
- Click Apply & Save to apply your changes to the screen.
To display (i.e., show) on the Diet Order Settings screen the unpublished diet, texture, and fluid types, complete the following steps:
- Click the Display Options icon (screenshot below).
- Slide the top switch to the left (Show All position).
- Click Apply & Save to apply your changes to the screen.
Unpublishing/Publishing a Diet Type/Texture Type Combination
What Unpublishing a Diet Type/Texture Type Combination Means
The system allows you to unpublish a specific diet type/texture type combination. What this means is that the specific diet type/texture type combination will not be available to be assigned on a person's profile. For example, assume the following diet type/texture type combination is unpublished:
- Diet type: Consistent CHO
- Texture type: Easy to Chew
On a person's profile, the combination will not be available for selection. Either the diet type or texture type can be selected, but its combination counterpart will be greyed out and not available for selection.
In addition, when on a recipe extension grid or a menu item extension grid, the diet type/texture type combination cell is grey to indicate it is unpublished. However, the extension cell still remains available to extend a recipe to if the diet type/texture type is ever published.
Unpublishing a Diet Type/Texture Type Combination
To unpublish a diet type/texture type combination:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Diets and Textures tab and ensure the Diet Category is Standard.
- To unpublish a diet type/texture type combination, click the green check mark of its cell. The check mark turns black to indicate the diet type/texture type combination is unpublished
Note: You cannot unpublish a diet type/texture type combination already assigned to people. If you attempt to do so, the following alert appears:
When a Parent Account Unpublishes a Diet Type/Texture Type Combination
When a parent account unpublishes a diet type/texture type combination, it will be unpublished in its child accounts. On the Diet Order Settings screen of a child account, the diet order cell indicates unpublished via the black check mark, but can be unpublished by the child account itself if need be by clicking the check mark.
If the diet type/texture type combination is currently assigned to people in a child account, that diet type/texture type combination cannot be unpublished. Attempting to do so will trigger the following alert to appear:
Clicking the Where Used button displays another pop-up listing the child accounts using the diet type/texture type combination and the number of people assigned to it.
Publishing an Unpublished Diet Type/Texture Type Combination
To publish an unpublished diet type/texture type combination:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Diets and Textures tab and ensure the Diet Category is Standard.
- To publish a diet type/texture type combination, click the black check mark of its cell. The check mark turns green to indicate the diet type/texture type combination is published.
Sorting Diet, Texture and Fluid Types in the System
Sorting How Diet and Texture Types Appear in System
You can sort the order in which the diet types, texture types, and fluid types appear in the system and reports. To do so, complete the following steps:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Diets and Textures tab and ensure the Diet Category is Standard.
- If sorting diet types, click and hold the = icon of a diet type to be sorted, and drag it up or down to the appropriate spot in the diet order rows.
- If sorting texture types, click and hold the = icon of a texture type to be sorted, and drag it left or right to appropriate spot in the texture type columns.
- Repeat the above steps until you have your desired order.
Sorting How Fluid Types Appear in System
You can sort the order in which the fluid types appear in the system. To do, complete the following steps:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Fluid Type tab.
- Hold the = icon of a fluid type to be sorted, and drag it up or down to the appropriate spot in the fluid type order.
- Repeat the above steps until you have your desired order.
Hiding/Showing an Unpublished Diet, Texture of Fluid Type on Extension Grids
As noted, when a diet, texture, of fluid type is unpublished it will still be available on the substitute extension grids to allow you to extend the recipe with therapeutic substitute recipes.
You can choose to hide an unpublished diet, texture or fluid type from extension grids or not. See the appropriate instructions below to do so:

Note: Hiding an unpublished diet, texture or fluid type from extension grids only impacts your MealSuite account. If you are a parent account (i.e., system account or corporate account) with child accounts, the diet, texture or fluid type will not be hidden from extension grids in your child accounts.
Hiding/Showing an Unpublished Diet Type on Extension Grids
You can configure an unpublished diet type type to either be hidden or shown on recipe extension grids and menu item extension grids via its Include in Extension Grid check box. To access this check box, complete the following steps:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Diets and Textures tab.
- Ensure the Diet Category is Standard.
- Click the name of the diet type you want to hide. The slide-out panel for the diet type appears. (screenshot below).
- Deselect the Include in Extension Grid to hide the diet type from extension grids. Or select the Include in Extension Grid to show the diet type on extension grids.
Note: If attempting to hide the diet type, but it is currently assigned to active (non-archived) people, then a message indicates such and the Include in Extension grid check box is not available to deselect (screenshot below).
- Click the Save button at the top right corner of the slide-out panel. If hiding the diet type, and it is currently not unpublished, the system prompts you to unpublish it via the following message:
- Click Makes Sense, Unpublish it. The diet type is now hidden from the extension grids.
Hiding/Showing an Unpublished Texture Type on Extension Grids
You can configure an unpublished texture type to either be hidden or shown on recipe extension grids and menu item extension grids via its Include in Extension Grid check box. To access this check box, complete the following steps:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Diets and Textures tab.
- Ensure the Diet Category is Standard.
- Click the name of the texture type you want to hide. The Update Texture Type pop-up window appears (screenshot below).
- Deselect the Include in Extension Grid to hide the texture type from extension grids. Or select the Include in Extension Grid to show the texture type on extension grids.
Note: If attempting to hide the texture type, but it is currently assigned to active (non-archived) people, then a message indicates such and the Include in Extension grid check box is not available to deselect (screenshot below).
- Click the Save button. If hiding the texture type, and it is currently not unpublished, the system prompts you to unpublish it via the following message:

You can configure an unpublished fluid type to either be hidden or shown on fluid substitution grids via its Include in Fluid Sub Grid check box. To access this check box, complete the following steps:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Select the Fluid Type tab tab.
- Ensure the Diet Category is Standard.
- Click the name of the fluid type you want to hide. The Update Fluid Type pop-up appears appears (screenshot below).
- Deselect the Include in Fluid Sub Grid to hide the fluid type from fluid substitution grids. Or select the Include in Fluid Sub Grid to show the fluid type in fluid substitution grids.
Note: If attempting to hide the fluid type, but it is currently assigned to active (non-archived) people, then a message indicates such and the Include in Fluid Sub check box is not available to deselect (screenshot below).
- Click the Save button. If hiding the fluid type, and it is currently not unpublished, the system prompts you to unpublish it via the following message:
- Click Makes Sense, Unpublish it. The fluid type is now hidden from recipe fluid substitution grids.

), which indicates the field has been edited, and can be clicked to revert the field back to the original of the parent account.

- Change the display name as needed by editing the the Texture Display Name field.
- Change the diet definition as needed by editing the Texture Definition field.

- Select the Fluid Type tab.
- Click the name of the fluid type you want to change. The Update Fluid Type popup window appears.
- Change the display name as needed by editing the the Fluid Display Name field.
- Change the fluid definition as needed by editing the Fluid Definition field.
- Click the Save button to apply your changes and close the pop-up window.
- When you edit the Fluid Display Name or Fluid Definition, the field appears with a ”revert to master” icon (
), which indicates the field has been edited, and can be clicked to revert the field back to the original of the parent account.
Designating an Item as Frequently Used for a Diet Type
An recipe (which includes prepared foods) can be designated as a frequently used item for a diet type. This means that when you are selecting a therapeutic substitute recipe for that diet type for a recipe (via either a recipe extension grid or menu item extension grid), the search pop-up window will show the frequently used items for that diet type, as per screenshot below.
For example, "Bagel Cheese” is a frequently used item that can associated with the vegetarian diet type.
To designate an item as frequently used for a diet type:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Diets and Textures tab.
- Ensure the Diet Category is Standard.
- Click the name of the diet type to set up with frequently used items. The diet type slide-out panel appears.
- Expand the Diet Restriction section.
- Click Add New > Frequently Used. The Frequently Used pop-up appears (second screenshot below).
- Select the Food & Non-Food Items search option and use its associated filters as needed:
- Food Type - you can specify if you are searching for only recipes or only prepared foods.
- Recipe Boxes - (available only if Recipe is selected from Food Type) - filter by a recipe box.

Categories - filter by food categories (if searching for prepared foods) and recipe categories (if searching for recipes). Note that if searching for both recipes and prepared foods, food categories are listed first in the drop-down, followed by recipe categories.
- Tags - filter by tags applied to recipes and prepared foods.
- My Corporation Items Only (for future use)
- As another search option, the Vendor Products option is a means to select a prepared food associated with a vendor product. From the vendor products that are returned from the search results, you then select one, which in turns adds the prepared food item the vendor product is linked with (i.e., vendor product is verified for the prepared food item). In other words, the prepared food item the vendor product is linked with is added, and not the vendor product itself.
- In the Search field, enter the description or ID of the item or product you are searching for and click Go. The search results are returned.
- By clicking the eye icon (
) of an item, a separate window appears with the following tabs:
- Details - displays the recipe details.
- Nutrition Facts - displays the Nutrition Facts label.

Where used (screenshot below) - displays the following sections:
- Recipes - lists any recipes the item is assigned to as an ingredient (i.e., a recipe can be an ingredient itself in a recipe), and lists any recipes the item is assigned to as a therapeutic substitute (i.e., an extended recipe).
- Menus - lists the menus the item is assigned to.

Personal Menus - lists the people profiles who have the recipe added as a personal item to their personal menu.
Note: The Recipes section is displayed first; therefore if you do not see the Menus and Personal Menus sections, then you can either collapse the Recipes section (by clicking the Recipes header bar) or scroll down the window to see the Menus and Personal Menus sections. Also, the Menus and Personal Menus sections will need to be expanded by clicking their respective header bars.
- For an item you want to add, click its + icon. You can repeat the above steps to add other items. Each time an item is added, the Preferred Menu Items section refreshes with the added item.
- To associate a selected item with one or more menu categories, select the categories from the item’s associated Categories field. A frequently-used item associated with a menu category will appear in search results when one or more of it assigned categories are selected (see Extending a Recipe or Altering Extensions of a Menu Item).
- Click Save to close the pop-up.
- Click the Save button at the top right of the panel to apply your changes.
Publishing/Unpublishing a Frequently Used Item
By default a frequently used item for a diet type is automatically published in the system, meaning it will appear for that diet type in your MealSuite account and any child accounts.
An account that created a frequently used item has the ability to unpublish a frequently used item to not have it appear in its account and any child accounts.
To access a frequently used item to unpublish it or republish it, complete the following steps:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Diets and Textures tab.
- Ensure the Diet Category is Standard.
- Click the name of the diet type you want to access. The diet type slide-out panel appears.
- Expand the Diet Restriction section. Note that a frequently used item has the preface of “Frequently Used:”
- For a frequently used item you want to unpublish, click its gear icon and select Unpublish. For a frequently used item you want to publish, click its gear icon and select Publish.
- Click the Save button at top right of the panel to apply your changes.
Deleting a Frequently Used Item
If your MealSuite account created a frequently used item, then that frequently used item can be deleted by your account. To do so:
- Select Tools & Setup > Diet Orders. The Diet Order Setting screen appears.
- Ensure you are on the Diets and Textures tab.
- Ensure the Diet Category is Standard.
- Click the name of the diet type you set up with restrictions. The diet type slide-out panel appears.
- Expand the Diet Restriction section. Note that a diet restriction has the preface of “Frequently Used:”
- For a frequently used item you want to delete, click its gear icon in the Action column and select Delete.
- Click the Save button at top right of the panel to apply your changes.
