Managing Void Reasons
About Void Reasons
When an item or ticket is voided on the POS (see POS - Voiding an Item or Order (After Firing) ), the POS operator is required to enter a void reason. Rather than the operator having to manually enter a reason, the system can be configured with a list of standard void reasons that the operator can select from, as per screenshot below).
By default, the system has the following void reasons:
- Unhappy Customer
- Order Error
- Item out of Stock
Enabling Void Reasons for a POS Revenue Centre
The use of void reasons must be enabled for a POS revenue centre. To do so, complete the following steps::
- Open the Service settings for editing for the POS revenue centre.
- Select the Force selection of a void reason check box.
- Click Save Changes to apply your changes.
Creating a Void Reason
To create a void reason, complete the following steps:
- In your Core account, select Settings from the left navigation sidebar. The Settings panel appears to the right.
- From the Settings panel, select Point of Sale Settings > Void/Refunded Reasons. The Void/Refund Reasons screen appears, with the Void Reasons tab automatically selected.
- Click the Add Void Reason button. The Add Void Reason modal appears.
- Enter the reason in the Reason field, and then click the Save Void Reason button. The newly-created reason is listed on the Void Reasons screen.
Changing the Void Reason Name
To change the name of an existing void reason, complete the following steps:
- In your Core account, select Settings from the left navigation sidebar. The Settings panel appears to the right.
- From the Settings panel, select Point of Sale Settings > Void/Refunded Reasons. The Void/Refund Reasons screen appears, with the Void Reasons tab automatically selected.
- For the void reason to be renamed, click its ellipsis in the Action column and select Edit (first screenshot below). The Edit: [Void Reason] modal appears (second screenshot below).
- Enter the name name in the Reason field, and then click the Save Changes button to apply your changes.
Deleting a Void Reason
To delete an existing void reason, complete the following steps:
- In your Core account, select Settings from the left navigation sidebar. The Settings panel appears to the right.
- From the Settings panel, select Point of Sale Settings > Void/Refunded Reasons. The Void/Refund Reasons screen appears, with the Void Reasons tab automatically selected.
- For the void reason to be deleted, click its ellipsis in the Action column and select Delete (first screenshot below). A confirmation message appears (second screenshot below).
- Click the Yes, Delete Void Reason button. The reason is deleted.

About Refund Reasons
When issuing a full or partial refund (see POS - Issuing a Refund), the POS operator is required to enter a refund reason. Rather than the operator having to manually enter a reason, the system can be configured with a list of standard refusal reasons that the operator can select from, as per screenshot below).
By default, the system has the following refund reasons:
- Food was not as ordered
- Food safety concern
- Customer dissatisfied
Enabling Refund Reasons for a POS Revenue Centre
The use of refund reasons must be enabled for a POS revenue centre. To do so, complete the following steps::
- Open the Service settings for editing for the POS revenue centre.
- Select the Force selection of a refund reason check box.
- Click Save Changes to apply your changes.
