Why does "Substitute Needed" Text Appear?
If an item or items for a day/meal period/menu category on a resident/patient's personal menu cannot be served due to an allergen or the item being manually marked as DNS on the personal menu, then the Substitute Needed text appears for that day/meal period/menu category. The logic of how this occurs is further explained as follows*:
- There is a 1st choice item on the active menu that is available for the resident/patient's diet order (diet type and texture type), but that 1st choice item on their personal menu cannot be served due to an allergen or the item being manually marked as DNS on the personal menu.
- There is no item from another choice selection (e.g., choice 2) in the day/meal period/menu category, or there is another choice selection, but it too cannot be served due to an allergen or a manual DNS on the personal menu.
- An Also Available (AA) menu configured as a house fallback is not scheduled that would be able to retrieve a fallback item, or there is an AA menu scheduled but no item is assigned for the day/meal period/menu category, or there is an item assigned but it too cannot be served due to an allergen or a manual DNS on the personal menu.
Note: To display excluded items on the personal menu (i.e., crossed out) due to an allergen or a manual DNS on the personal menu, select the Display Excluded Items option from the Display Options.
*In addition, the text "Substitute needed" will appear underlined on the Person-Specific Select Menus Report and the Tray Menu Tickets Report. (The screenshot below is of the Person-Specific Select Menus Report.)
Options to Remove the "Substitute Needed" Cell
To resolve a "Substitute Needed" cell, the following options are available:
- You can hide the "Substitute needed" text by creating a "None Recipe" and adding that recipe as a substitute to the affected diet order on the menu item extension grid. See the Creating a "None Recipe" and Assigning it as Substitute Extension below.

- You can add an item. To do so hover over the Substitute Needed cell and click the Add Substitute option (first screenshot below) to display the Add Substitute modal (second screenshot below), from which there are the following options:
- Add a fallback substitute to resolve a Substitute Needed (replaces item for the instance: day, meal period/snack time, and menu category).

Add a personal menu item to resolve a Substitute Needed (adds personal menu item for the instance: day, meal period/snack time, and menu category).
Creating a "None Recipe" and Assigning it as Substitute on Menu Item Extension Grid
- Create a new recipe from scratch (see Creating a New Recipe), naming it appropriately in the Name field as "None Recipe" or similar, and entering an appropriate symbol, such as a dash (-) or period (.), in the Display name.
- After the "None Recipe" is created, then open the extension grid for the menu item, and for the affected diet order (i.e., diet type/texture type), add the None Recipe (via the Serve Existing Recipe option).
- When you generate the Tray Menu Ticket Report (People) or the Person-Specific Select Menus Report (People) the symbol entered for the None Recipe displays rather than "Substitute needed". (The screenshot below is of the Person-Specific Select Menus Report).
- Note that on the person's personal menu view, instead of "Substitute Needed" the following will appear depending on the Display by setting in the Display Options tool:
- If Lookup Name is selected, then the recipe's system name (aka lookup name) appears (i.e., "None Recipe")

If Display Name is selected, then the recipe's display name appears, which is the symbol you chose to display for the None Recipe in step 1 above.
FAQs
Is there a report that I can run that lists all the instances across my resident/patient profiles who have "Substitute Needed" on their personal menus?
No, not at this time.
Only when running individual tray menu tickets or person-specific select menus for resident/patients does the "Substitute Needed" text appear.
