About Archiving a Resident/Patient Profile
A resident/patient profile in your MealSuite account can be manually archived if needed. In addition, if your account is connected with your EHR system via a MealSuite Connect interface, then updates for a profile in the EHR will be reflected for that profile in your account. As such, if the resident has a discharge status in the EHR, such as what will occur with a leave of absence (LOA), then Connect will archive that profile in your account.
When a profile is archived, that profile does not appear on the People Listing screen, is not included in people reports, and is not included in production reports so as not to be served during meal periods and snack times. In addition, their diner profile will be hidden from the front-end ordering apps (Touch app, POS, Portal app).
Archiving a Profile
- From the left navigation sidebar, select People > People Listing. The People Listing screen appears.

Locate the profile you want to archive, click its gear icon and select Archive. A confirmation message appears stating that the person is archived.

- Open the person’s profile.
- At the top of the panel, click the Archive button. A confirmation message appears stating that the person is archived.
Locating Archived Persons
- From the People Listing screen (People > People Listing), click Filters at the top right.
- In the Status field, select Archive.
- Click Apply.
- The screen refreshes with archived profiles, as indicated by Archived in the Status column.
Unarchiving a Profile
- From the left navigation sidebar, select People > People Listing. The People Listing screen appears.
- Display archived profiles in the list:
- Click Filters at the top right.
- In the Status field, select Archive.
- Click Apply.
- For the profile to unarchive, click their gear icon and select Unarchive. A confirmation message appears stating that the person is unarchived.

- Open the person’s profile.
- At the top of the panel, click the Unarchive button. A confirmation message appears stating that the profile is unarchived.
Deleting a Resident/Patient Profile from the System (Not Recommended)
If you delete a resident/patient profile from the system, it cannot be recovered. Therefore it is recommended to archive the profile. If necessary to delete the profile from the system, you can do so via the following steps:
- From the left navigation sidebar, select People > People Listing. The People Listing screen appears.

Locate the profile you want to delete, click its gear icon and select Delete. A confirmation message appears asking you to confirm the deletion.
- Click Delete. The profile is deleted from the system.
FAQs
When unarchiving a resident/patient, are their personal menu customizations maintained?
Yes. When a resident/patient profile is unarchived (i.e., active), their personal menu customizations are maintained (i.e. personal menu items, servicing size adjustments, do not serve, etc.).
